For this reason, you need to have the proper mindset when dealing with a business meeting, especially if the meeting takes place somewhere in a remote city.
You need to be calm and focused on the contents of your presentation, plus any other technical and financial details which may pertain to the business. This is not always easy to achieve, but by following our 3 steps you have plenty of chances to succeed:
1. Research the area in advance
Even if the meeting takes place in a remote area where you have never been before, you need to do your homework; namely to research the area well beforehand.
You don’t really need to travel to the area, especially if it’s far away from your place, but you can use the tools available online in order to get an idea about the place, name of the streets, and name of a few reputable restaurants and attractions in the area. For this purpose you can use online tools such as Google Maps and Yelp.
If your business partner has already proposed a meeting place, such as a restaurant or terrace, then see what other users say about it and which are the best options in the menu. If he/she did not propose a place, then choose a restaurant or other nearby attraction based on customer reviews.
2. Make sure that you stay in a quality hotel or resort
If the meeting is set in a remote city, then choose a top-rated hotel or resort in order to benefit from quality rest before the meeting.
If you are making the booking by yourself, then use online reviews as a guideline and mention that you are traveling for business when doing the reservation. This way you will benefit from better options such as upgraded room (based on availability), breakfast, and wake-up service.
Equally important is to book the flight and hotel transfer in advance, in order to avoid any surprises.
3. Relax and focus on the benefits
Even though business can be a cruel world sometimes, it’s very important to relax and focus on the benefits. Clearly highlight what you and your company have to offer, and why you are the best at what you do.
Make sure to have a relaxed appearance, since your partner may try to take advantage if he sees you in a stressed position, and try to negotiate the terms to be more in his favor.
In addition, make sure to prepare a speech and memorize the main parts of it, so that your partner doesn’t catch you off-guard. The speech needs to cover the most important points of the business as well as what you have to offer.
These are the 3 essential steps that you need to keep in mind when preparing for a business trip. If you follow them “a-la-carte”, then all the odds will be in your favor.
